Human Resources Coordinator

The Human Resources Coordinator provides support for a broad range of support for the day-to day human resources inquiries within Columbia's Zuckerman Institute.


The Human Resources Coordinator provides support for a broad range of support for the day-to day human resources inquiries within the Mortimer B. Zuckerman Mind Brain Behavior Institute (Zuckerman Institute). The Human Resources Coordinator will work closely with the Human Resources staff and will respond to all inquiries in a timely and efficient manner and exemplify the internal customer service values and standards representative of the Zuckerman Institute.

Reporting to the Human Resources Associate, the ideal candidate is proactive and serves as an excellent relationship builder for the Zuckerman Institute. The HR Coordinator must be innovative and agile in approach and assist the team to provide the highest level of support for the faculty and staff within the Zuckerman Institute.


Responsibilities include, but are not limited to, the following:

Assists with the recruitment of staff by posting positions using Columbia’s job site (Talentlink) and appropriate advertising sources, scheduling in-person meetings, participating in search committees for junior level positions; completing and monitoring background checks and process all new hires once selected as finalists;

Participate in Zuckerman Institute's onboarding program ensuring documents are collected; information is disseminated in order to provide a seamless transition to the Institute;

Initiate and process template-based hires in Peoplesoft and/or nominations ensuring accurate collection and processing of the information collected and creation of employee files, audit submissions and correct all necessary information when required prior to filing in specified locations both physically and electronically;

Process any employment related changes in Talentlink as well as via PAF (ie. updating position numbers, for promotions, or reclassifications);

Generate necessary reports in order to validate and audit data for accuracy for the tracking of reappointments, information related to salary and additional compensation, fiscal year end and various report creation as needed;

Manage the collections of timesheets for non-union support staff and short-term casual staff in order to process bi-weekly payroll;

Manage the collection and verification of time off trackers for Officers of Administration ensuring all submissions are up to date and approved by supervisors;

Assist with monitoring the performance management process, employee engagement surveys and events, as well as collection of photographs for all staff individually and as a group for internal website;

Provide back up support for HR Team for access requests and uni creation;

Order and track HR office supplies;

Additional responsibilities as assigned by the Human Resources Associate and/or Director of Human Resources Operations and Programs.


Minimum Qualifications

Bachelor's degree and/or equivalent related experience is required. A minimum two (2) years of related experience.


Preferred Qualifications

Previous human resources support experience is preferred. Must be able to demonstrate excellent interpersonal, written and oral communication skills, including active listening skills. Must be capable of working independently, with strong organizational skills, as well as collaboratively, and take a proactive approach and anticipate needs. Excellent computer skills in MS Office Suite, particularly Word and Excel. The successful candidate must be proactive and engaging, flexible in nature, possess sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization. Must have a passion for excellent customer service and commitment to exceptional quality.
