Human Resources Associate

The Human Resources Associate will provide support for a broad range of strategic and tactical responsibilities for the human resources functions at Columbia's Zuckerman Institute.

Columbia University's Mortimer B. Zuckerman Mind Brain Behavior Institute supports interdisciplinary neuroscience research and discovery by scientists and scholars across the university and promises to be the most comprehensive institute for brain science.



The Human Resources Associate provides support for a broad range of strategic and tactical responsibilities for the human resources functions at Columbia's Mortimer B. Zuckerman Mind Brain Behavior Institute (Zuckerman Institute).

Reporting to the Director of Human Resources, this individual coordinates various human resources programs such as talent acquisition, on-boarding and training. The incumbent is as a proactive networker who serves as an excellent relationship builder for the Zuckerman Institute.

Serving as the primary contact for recruitment for the Institute, the HR Associate is innovative in approach and assists in the selection of top research talent for the Institute. The role serves as a vital member to the HR team providing overarching support.


Responsibilities include, but are not limited to the following:

Manages programs related to sourcing, assessing, selecting, hiring, and on-boarding all Institute hires. The incumbent will be responsible for developing a holistic approach to on-boarding activities for new hires. This will include but not limited to managing the access and approval process for various systems, identifying training needs and creating and delivering training programs specifically designed to support new hires in their first 30/60/90 days.

Coordinates the Hiring process, ensuring appropriate and timely communication of hiring decisions to staff and applicants. Creates, edits, and reviews job descriptions, postings, and other job-related documents for compliance with University policies.

Advises and trains staff on hiring techniques including behavioral interviewing. Acts as a backup for managing the casual hiring process, tracking temporary positions, and assisting with advising departments on the University's casual and temporary hiring policies and procedures.

Serves as a liaison with internal and external constituents to resolve issues and ensure timely processing of new-hire/appointment, reappointment, termination and other related academic transactions. The incumbent is responsible for tracking and ensuring compliance with respect to I-9 processing, annual trainings, annual medical surveillance, visa status and other regulatory matters.

Reviews, verifies and processes all academic transactions to ensure accuracy and compliance with University and Institute policies. Educates, trains and assists staff in options and guidelines in accordance to University, State, and Federal employment regulations, policies and procedures. Assists faculty and researchers with questions and concerns regarding their appointments and their eligibility stated in the Faculty Handbook. Prepares all necessary correspondences and processes leaves, appointment and visa extensions. Supports full life cycle recruiting for all open positions at all levels to include: campus and select lateral positions in research, administration and technology.

Builds and maintains relationships with college career services departments and internal stakeholders. Coordinates and attends university and community networking events.

Maintains recruiting tracking databases for statistical analysis on all campus hires, intern conversions, branding ROI, and on-boarding effectiveness.

Anticipates and understands the talent needs of the Institute and develops an active candidate pipeline when vacancies occur. Performs additional duties, and special projects as required.


Position Requirements

Bachelor's degree, including a minimum of three (3) years of related experience is required. Advanced degree preferred. Prior experience in academic environment or Medical Center highly desired. Must be able to demonstrate excellent interpersonal, written and oral communication skills, including active listening skills. Strong editorial and grammatical expertise essential. Analytical and quantitative skills required, along with demonstrated project management experience.

Must be capable of working independently, with strong organizational skills, as well as collaboratively, and take a proactive approach and anticipate needs. Excellent computer skills in MS Office Suite, particularly Word and Excel. The successful candidate must be proactive and engaging, flexible in nature, possess sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization. Must have a passion for excellent customer service and commitment to exceptional quality.
